CRM & Booking System Implementation
If you’re still using spreadsheets or sticky notes to track bookings and client info, we’ll help you modernize. We can set up and manage a
CRM (Customer Relationship Management) system tailored for venues (there are great ones out there, or we can use our own platform). This system will keep all your inquiries, client contacts, event details, and follow-up tasks organized in one place. It can automate reminders (e.g., “Payment due” alerts to clients, or “Follow up with this lead” for you) and give you a clear calendar view of bookings. We’ll train you and your staff on using it, or even handle a lot of the data entry and management for you. The result? No leads falling through cracks, no double-bookings, and a lot less stress.

Operational Consulting
We’ll analyze your current workflow for handling leads to confirmed bookings to event execution. Maybe you need a better process for site tours, or a standard operating procedure for when a client signs the contract (who does what, when). We have experience in venue sales and coordination, so we can suggest improvements to save you time and improve client satisfaction. For instance, perhaps implementing a monthly “open house” tour day could maximize viewings, or maybe outsourcing cleanup could free your team for client care. We look for inefficiencies and fix them.

Remote Venue Coordination
If you’re a venue owner who doesn’t have a full in-house team, we can act as your remote venue coordinators. This means we’ll handle incoming inquiries (via phone or email – introducing ourselves as part of your venue), schedule and even conduct virtual tours if needed, coordinate with preferred vendors, and essentially be the point of contact for clients up until their event day. On event days, you or on-site staff take over for execution, but we handle the prep and paperwork. This overlaps with our marketing services, but in a management context – we can oversee your ongoing marketing campaigns (ads, promotions, social media) with a focus on keeping your venue’s event calendar booked. We’ll also monitor your sales metrics: for example, track your inquiry-to-tour conversion rate, tour-to-booking rate, and identify where we can improve. If we see lots of inquiries but low bookings, we might adjust pricing strategies or identify issues (like maybe many people mention a certain constraint and we brainstorm solutions).
